How Deep Voice AI Limited collects and uses personal data through this website. This notice covers the data we collect from you here — it does not govern data our Business Agents process on behalf of a client, which is covered separately.
Deep Voice AI Limited (“DVAI”, “we”, “us”) is the data controller for personal data collected through this website. We are a company registered in England & Wales (company number 16743132), with a registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. We are registered with the UK Information Commissioner’s Office (ICO) under registration reference C1947649. You can contact us about any privacy matter at info@deepvoiceai.co.
This notice explains how we handle personal data that we collect through this website: principally, the information you choose to send us through our enquiry form.
It does not cover the data our Business Agents process when delivering a service to a client. When a client engages DVAI, the personal data the Business Agent handles in the course of that service — for example call audio, transcripts, or records — remains the client’s data, held within the client’s own IT estate. In relation to that service data the client is the data controller and DVAI acts as a processor on the client’s instructions. That processing is governed by the separate customer agreement and data-processing agreement (DPA) entered into with each client, not by this website notice.
This website is primarily informational. The personal data we actively collect is what you provide through the enquiry form, typically: your name, organisation, role, work email address, your area of interest, and any message you include. If you ask for our live demo line, we also record that request. We do not ask for special-category data through this site, and we ask that you do not send it to us via the form.
Like most websites we may also process limited technical data (such as your IP address and basic device or browser information) where strictly necessary for the site to function and to keep it secure. Any use of non-essential cookies is dealt with in our Cookie Policy.
We use the information you submit solely to respond to your enquiry, to arrange a confidential discussion where you have asked for one, and to provide you with information about DVAI and its products that you have requested. Our lawful basis under Article 6 UK GDPR is: (a) taking steps at your request prior to any potential engagement (Article 6(1)(b)); and (b) our legitimate interests (Article 6(1)(f)) in responding to and following up on business enquiries. Where we rely on legitimate interests, we have considered your interests and rights and concluded that responding to a business enquiry you initiated does not override them. You can object to this processing at any time (see section 8).
We do not use the data you submit here for marketing to you unless you have separately agreed to receive it, and we do not sell your personal data to anyone.
DVAI’s products are built to keep sensitive data under the client’s control. Where a Business Agent or other DVAI product is deployed on-premise or in a hybrid configuration, the data it processes to deliver the service stays within the client’s own environment and IT estate. Business Agents are available in cloud, on-premise and hybrid configurations to suit the client’s requirements.
Two points follow, and we state them plainly:
We share the enquiry data you provide only where necessary: with the members of our own team who handle your enquiry; with trusted service providers who help us operate (for example email or hosting providers), under appropriate contractual safeguards; and where we are required to by law. Where any provider processing this website’s data is located outside the UK, we put in place an appropriate transfer mechanism (such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses).
We keep enquiry data for no longer than is necessary for the purpose for which we collected it. In practice we retain it for the duration of our correspondence with you and for a reasonable period afterwards in case you re-engage, after which it is deleted or anonymised, unless we are required to retain it for a legal or accounting obligation.
Under UK GDPR you have the right to: access the personal data we hold about you; have it corrected if it is inaccurate; have it erased; restrict or object to our processing of it; and, where applicable, receive it in a portable format. Where our basis is legitimate interests, you have the right to object to that processing at any time. To exercise any of these rights, contact us at info@deepvoiceai.co. You also have the right to complain to the ICO (ico.org.uk), though we would welcome the chance to resolve any concern first.
We may update this notice to reflect changes in our products or our legal obligations. Material changes will be published on this page with a revised effective date.
This notice governs personal data collected through this website. It does not replace the data-processing terms agreed with DVAI clients, which govern the data our Business Agents process in delivering a service.
